Doing this for every car?
StockBook writes the invoice for you, from the car you already logged. Your logo and terms, the part-exchange already deducted, and the customer signs on the glass. Profit per car is worked out at the same time.
What goes on a car sale receipt
- Date of sale and a receipt or invoice number
- Seller and buyer names and addresses
- Registration, make, model, colour, VIN and mileage
- Sale price, deposit and any part-exchange allowance
- How it was paid, and the balance left to pay
- Any warranty or terms, then both signatures
Dealer sale or private sale?
In a private sale the car only has to be as described, so a simple receipt is usually enough. A dealer selling to the public is covered by the Consumer Rights Act 2015: the car must be of satisfactory quality, fit for purpose and as described, and the buyer can reject a faulty car within 30 days. Writing “sold as seen” on the paperwork doesn't change that, so give a proper sales invoice instead. More on sold as seen.
Questions dealers ask
- What should a car sale receipt include in the UK?
- The date, the seller's and buyer's names and addresses, the registration, make, model, VIN and mileage, the sale price, any deposit and part-exchange allowance, how it was paid, any warranty, and both signatures.
- Can a dealer sell a car 'sold as seen'?
- A dealer can write it, but it does not take away the buyer's rights. When a business sells to a consumer, the Consumer Rights Act 2015 says the car must be of satisfactory quality, fit for purpose and as described, whatever the paperwork says. 'Sold as seen' only carries real weight in a private sale.
- Is a receipt the same as an invoice?
- A receipt confirms a sale and payment, which is usually all a private sale needs. A dealer should give a sales invoice: it carries the business details, an invoice number and, if VAT registered, the VAT number and either the VAT figure or the margin scheme wording.
- How does VAT work on a used-car invoice under the margin scheme?
- Under the second-hand margin scheme the dealer pays VAT on their profit, not the full price. The invoice must not show VAT separately, and it must carry a margin scheme reference such as 'Margin scheme — second-hand goods'.
- Do I still need to tell the DVLA when I sell a car?
- Yes. A receipt doesn't change who the registered keeper is. Tell the DVLA about the new keeper, online at GOV.UK or with the V5C log book, as soon as the car is sold.
